Privacy at Al Salam Events

What we collect when you register, how we use it, and how to have it removed.

What we collect

  • About you (the registrant): your full name, email address, and phone number.
  • About participants (often children): full name, age or school grade, and gender. We need these to place each participant in the right competition category and to run check-in and judging on event day.
  • Payments: handled entirely on our payment partner’s secure page. We never see or store card numbers — we record only the amount and whether a registration is paid.
  • Returning families: we keep participant details from previous competitions so you can re-use them next year. They are only released back to you after you confirm a one-time code sent to your email.

How we use it

Only to run the event: managing your registration, emailing you confirmations, payment information, and your entry QR code, checking participants in on event day, and organizing judging and results. We never sell or trade your information.

Mailing lists: our community email is managed with MailerLite. When you register, we add your email to that event’s list so we can send you updates about the event you signed up for. You can also opt in (at registration) to our general community list for news and future events — that one’s your choice. Every message has a one-click unsubscribe, so you’re always in control.

Children’s information

Participant details are provided to us by a parent or guardian during registration — we do not collect information from children directly. Access is restricted to the small team of event administrators, and competition systems display only what event volunteers need (for example, a first name on the check-in queue board).

Where it is stored

Registration data is stored with our database provider (Supabase) on servers in the United States, and the website is served by Netlify. Emails are delivered through Resend. Our forms use Cloudflare Turnstile to block automated abuse, and we use Sentry for error monitoring — configured so that personal information is stripped from error reports. Each provider processes data only on our behalf.

Cookies

We use only the cookies needed to keep you signed in to “My Registrations” (and administrators to the admin area). There are no advertising or analytics trackers on this site.

Security

All traffic is encrypted (HTTPS). Database access is locked down so registration details are only reachable through our own server code, and backups are encrypted. Admin accounts use strong unique passwords and sessions expire after inactivity.

How long we keep it & your choices

We keep registration records to run the current event and to make registration easier for returning families in future years. You can ask us at any time to show you what we have about your family, correct it, or delete it entirely — email info@mpicbrampton.com or call (905) 840-5454, and we will act on it promptly.
